📋 Choosing Your Registration Form Type

PlayHQ offers two registration form options. You can use one or both depending on how your club manages teams:

Participants to Club (Most Common)

This option creates a single registration pool for your competition. All participants register to the club, and club admins later allocate participants into the correct team

Participants to Club Team

Each team gets its own unique registration link. Participants register directly to a specific team using the link you provide.  Participants can still be moved within club teams if required.


⚙️ Setting Up Your Registration Form

The setup process is similar for both form types. (ensure you have been invited into a competition to setup your form)

Step 1: Access Registration Forms
  1. Select Competitions
  2. Choose the competition you want to set up registrations for
  3. Select Registration and Forms

Note: You can add additional questions to your registration forms by selecting Custom Fields.

Step 2: Set Registration Period

Set the start and end dates for when participants can register. This controls when your registration form will accept new registrations.

Step 3: Review Inherited Fees

You'll see any fees set by your parent governing bodies (state/national organizations). Use the dropdown to view these inherited fees. These fees are automatically included in participant registrations.

Step 4: Create Your Club Fees
  1. Select the relevant category set up by your parent governing body
  2. Adjust the age range to fit your club's needs (must stay within the limits set by your parent organization)
  3. Rename the category to suit your club if needed
  4. Enter your club's registration fee amount

⚠️ Important: Club Fees Only

The fee amount you enter should only be your club's fee. Do not include governing body fees here - these are added automatically from inherited fees.

Tips:

  • You can add as many fee categories as needed
  • You can connect to the same category multiple times (for example, different fee levels for the same age group)
  • Participants will only see categories they're eligible for based on their age


💳 Payment Options and Installments

Setting Up Payment Installments

If you want to offer payment by installments:

  1. Set the start date for installments
  2. Set the final payment date

PlayHQ will automatically calculate monthly payment amounts and show participants when payments will be deducted from their payment method.

💡 How Installments Work

Club fees: Split into monthly installments
Governing body fees: Must be paid in full at registration (not included in installments)

Optional: Adding an Upfront Deposit

You can collect a larger upfront deposit by setting a deposit percentage. This deposit:

  • Is charged from your club fees only
  • Does not include governing body fees
  • Reduces the amount split across monthly installments
Adding Fees for Other Roles

If your competition includes other roles (coaches, volunteers, officials), you can add registration fees for these roles as needed.


🛍️ Custom Questions and Products

Viewing Custom Questions

You'll see any extra custom questions that have been added by other organizations in your hierarchy (state, national bodies). These questions will automatically appear on your club's registration form.

Adding Products to Registration

You can add merchandise, fundraisers, or memberships to your registration form:

  1. Select items from the products list
  2. Choose which roles they apply to (participants, coaches, etc.)
  3. Add pricing information and extra details to help participants during registration

If products aren't appearing in the dropdown, make sure they're set up in your club shop first. See our related article on setting up your club shop.


✅ Final Setup Options

Terms and Conditions

If you have terms and conditions for registration, make sure they are toggled on. Participants will need to agree to these terms during the registration process.

Form Visibility

Choose how participants can access your registration form:

  • Visible: Form appears on the PlayHQ public website where participants can find it
  • Hidden: You'll need to share the registration link directly with participants
Family Discount

You can set up a family discount so that any additional family members who register to the same club will automatically receive the discount.

Note: The discount applies from the second family member onwards.


Once you've completed these steps, your registration form is ready to use. Participants can begin registering during your set registration period.
