Overview

The Digital Membership Card eliminates the need for physical identification sheets whilst providing enhanced security and real-time verification capabilities for all Basketball England participants, available through the HoopsHQ mobile app. 

Your Digital Membership Card displays all essential match day information including photo ID, registration information and membership status.

Cards are available for all current Basketball England registrations and automatically update when administrators make changes to your registration details.

Once you open your cards on your device with internet access, they're automatically save to your device for offline use - ensuring reliable access even during poor reception on match day.

Accessing your Digital Membership Card

Finding your cards

Your Digital Membership Cards are located in the dedicated Cards tab within HoopsHQ.

  1. Open HoopsHQ
    1. Launch the HoopsHQ mobile app
    2. Ensure you're logged into your Basketball England account
    3. Navigate to the Cards tab
  2. View your active cards
    1. The Active & Upcoming toggle is selected by default
    2. Your current registrations display with ID photography and key details
    3. Any pending registrations appear below active cards with different styling
    4. Use the search function in the top-right corner to locate specific cards

 

Managing multiple cards

If you hold multiple roles or have dependants, you can organise and access all relevant cards.

  • Reorder your active cards - select and drag cards within the Active & Upcoming view. Arrange based on frequency of use or personal preference. Your changes will save automatically.
  • Access dependant cards - dependant cards display alongside your own registrations. Dependant names clearly identify each card, and can be reordered with your own cards.
  • View historical registrations - you will see only your Active & Upcoming seasons membership cards by default. Toggle to Completed to see previous season cards. Previous season cards show past participation history, but cannot be used for current season verification.

Understanding your card information

Your Digital Membership Card displays comprehensive verification details required for match day participation:

  • Personal Details: Full name (with player profile link if applicable), age, and gender
  • Role: Player, Coach, Team Manager, Referee, Table Official, Statistician, or Bench Personnel
  • Registration Details: Team assignment, grade, season dates, competition information
  • Organisation Details: Club and association registration details
  • Membership Status: Participant, Performance, or custom membership types with validity periods
  • ID Photography: Your uploaded identification photograph from registration

⚠️ Important: Card information updates in real-time from your registration data. ID photographs refresh each season after new registration.

Using cards for match day verification

For individual participants

Present your Digital Membership Card when requested by officials or administrators:

  1. Open the Cards tab in HoopsHQ
  2. Select your relevant Digital Membership Card for your current competition season and role
  3. Display the card showing your ID photograph and registration details
    • Your cards remain accessible offline if you have previously opened them while connected to the internet, and your app storage/cache is not yet cleared on your device

For team managers and coaches

If you are logged in with management access enabled, you can access a team's Digital Membership Cards through Game Centre during match management:

  1. Navigate to Game Centre for your upcoming or live match
  2. Select the Player IDs link from the game day tools menu
  3. View all participants assigned to the line-up
  4. Select individual cards for detailed verification information

Handling pending registrations

Registrations awaiting approval appear with distinct styling and limited functionality.

When you see a Pending Card:

  1. The card displays below active registrations
  2. It cannot be reordered with active cards
  3. This displays a popup message when selected: "Pending Card - The registration linked to this card is pending. Please contact your club administrator"
  4. It automatically updates to an Active status once approved by administrators

If your registration remains pending:

  • Contact your club administrator for approval status
  • Verify registration details were submitted correctly
  • Allow processing time for administrative review

Frequently asked questions

My Digital Membership Card isn't loading or displaying. What should I do? First, check your internet connection and try refreshing the app. Close and reopen HoopsHQ, then restart your device if the issue persists. 

Can I use my Digital Membership Card if I don't have internet access on match day? Yes, Digital Membership Cards are cached locally on your device to ensure functionality during poor reception. Once you've accessed your cards with internet connectivity, they remain available offline for match day verification.

I have multiple roles (player and coach) - how do I manage different cards? You'll receive separate Digital Membership Cards for each registration, all using the same ID photograph but displaying role-specific information. You can reorder these cards in your preferred sequence and easily switch between them as needed for different match day responsibilities.

My recent registration isn't appearing on my Digital Membership Card. Why not? Check if your registration is still pending approval by looking for pending status indicators. Verify you're logged in to HoopsHQ using the same account you registered with, and allow time for system synchronisation after registration approval. 

Can I manage Digital Membership Cards for my children or dependants? Yes, account holders can view and manage Digital Membership Cards for all their dependants. Dependant cards display the dependant's name and can be reordered alongside your own cards for easy match day access.

How do I update my ID photograph or personal information? ID photographs automatically update each season after new registration. For personal information changes, contact your club administrator.
