What is Registration Protection?

Registration protection in PlayHQ protects your registration investment when life gets in the way. Just like travel insurance protects your holiday booking, registration protection gives you peace of mind that you won't lose money if you can't participate due to unforeseen circumstances.

It covers 100% of your registration fees if you need to cancel due to injury, illness, relocation, or other covered events outlined in the full policy terms.

When is Registration Protection available?

Registration protection is only available for player registrations into competitions. You'll see the option to add protection coverage during checkout if your registration includes fees that can be insured.

Protection is NOT available for:

  • Program registrations
  • Team registrations
  • Membership fees, donations, merchandise, or other non-registration fees
  • Non-player registrations (coaches, volunteers, etc.)

While not available for those registrations options outside of player registrations into competitions currently, these may be added in future.

Understanding costs and coverage

What's covered

Registration protection covers 100% of your competition registration fees if you need to cancel due to:

Cost calculation

Registration protection in PlayHQ costs 7% of your total registration fees.

For example, if your registration fees are $200, then optional registration protection costs $14 (7% of $200). Your total registration payment would become $214 plus any service fee charges. This breakdown is clearly displayed in checkout.

Any other cart items NOT covered by protection (e.g. membership fees, donations, merchandise, or other non-registration fees) do not impact the calculation of your coverage.

Adding protection during registration

Selecting coverage

When registering as a player to a competition, look for the registration protection option during checkout.

Review coverage details

  1. Check the registration protection information, explaining what's covered
  2. Review the insurance terms and conditions, and consider whether registration protection suits your circumstances
  3. Review the quoted coverage cost shown in your cart (7% of registration fees)

Add protection to your registration

  1. Tick the 'Accept Coverage' option if you want protection on your registration fees, else choose 'Decline Coverage'
  2. Your cart will update to include the registration protection cost if opting in
  3. Complete your payment to finalise your registration 

⚠️ Important: You can only add protection during the initial registration process. Protection insurance cannot be added later or removed after payment.

After you register

Your policy documentation

Once payment is successful, you'll receive your PlayHQ registration confirmation email, along with an Registration Protection policy email from Vertical Insure containing:

  • Policy details and coverage information
  • Contact details for claims
  • Instructions to keep your PlayHQ invoice as proof of purchase

Keep both emails safe - you'll need them if you make a claim.

Making an insurance claim

Step 1: Cancel your registration

Contact your club or association administrator to cancel your registration in PlayHQ.

Step 2: Get proof of cancellation

Obtain one of these as proof of cancellation:

  • Email confirmation of your registration cancellation; or,
  • Screenshot of your registration history in PlayHQ showing "Cancelled" status

Step 3: Contact Vertical Insure

Contact Vertical Insure directly using the contact details in your policy email. Provide:

  • Proof of cancellation (from Step 2)
  • Original PlayHQ invoice showing insurance purchase and policy number

Step 4: Claim processing

Vertical Insure will:

  1. Validate your claim against policy terms
  2. Process your refund payment directly to you
  3. Notify you when settlement is complete

Important considerations

Claims process

  • Your registration must be cancelled by your club or association administrator in PlayHQ first
  • Insurance claims are processed by Vertical Insure, not PlayHQ
  • Refunds come directly from the insurance company
  • Your club or association doesn't handle registration insurance refunds

Frequently asked questions

Should I purchase Registration Protection? Consider protecting your registration fees if you're concerned about circumstances that might prevent participation, such as injury risk or potential family changes. The 7% premium provides peace of mind that your registration investment is protected against qualifying unforeseen events.

What if I change my mind about protection after registering? Registration protection can only be added during the initial registration process. You cannot add protection later or remove it after payment is complete.

How long does an claim take to process? Contact Vertical Insure directly for specific claim processing timeframes. All claims are handled directly by the insurance company, not through PlayHQ.

Can I get protection for team registrations or merchandise purchases? No, registration protection is only available for individual player registrations in competitions. Team registrations, merchandise, donations, and membership fees are not eligible for coverage.

Do I need separate protection for each child I'm registering? Yes, protection is purchased per individual registration. If you're registering multiple children, you can choose to cover each child's registration separately during their respective checkout processes.
