Understanding online payments in PlayHQ
Setting up payment details allows your organisation to accept online payments through PlayHQ.
PlayHQ has an extensive range of payment methods that offer greater flexibility to pay for registrations, merchandise, take one-off payment requests and sell products in your online shop.
All payments will be directed to your nominated bank account/s. For more details about available payment methods and the benefits of online payments, see our information sheet.
What you'll need before starting
Required information
Before you begin, make sure you have:
- Your organisation's contact details
- Your organisation's financial details including bank account details,
- Proof of business registration -
- If registered as a business
- business registration number - If you do not have a business registration number please enter 0000
Please ensure where ever possible your bank account name matches your bank statement and name listed on official documents
- If registered as a business

Unregistered: Upload a bank statement plus the first three pages of your organisation constitution. Note these will need to be combined into one file.
- Note the video references only the first page of your constitution which is incorrect
- If none of the above requirements can be provided by the business, they must identify as Individual or Sole Trader.
- Supporting documents of your business registration - Please note whilst you may not be explicitly asked for these documents we recommend upload to ensure quick verification
- Bank statement with business name that matches your the account name entered
- Business License
- Certificate of Registration
- Incorporation, Constitution or Rules
- Articles of Association
- Charity Registration Document
- Partnership Agreement
- Trust Deed
- List of directors (this will be your key committee members or owners if private business)
- You will need proof of identity for one of these members
- Licence OR;
- Passport OR;
- National identity card
- You will need proof of identity for one of these members

IMPORTANT: All business names and details MUST match exactly what appears on your bank account and official documents.
Setting up payment details for your organisation
Important
Ensure all information matches your official organisation documents exactly. Incorrect details will delay your payment setup.
Follow these steps to set up payment details for your organisation:

Access Payment Settings
Open the Payments tab from the My Organisation > Overview page of the Admin Portal.

Start the Setup Process
Click Submit Payment Details to start your payment onboarding form.

Enter Organisation Details
Complete all required information.

Add Bank Account Information
Enter your Nominated Bank Account Details including a nickname for your bank account

Enter Authorised Representative Details
Provide details of the Authorised Organisation Representative

Accept Terms and Conditions
Read and accept all of the Terms and Conditions, including the Privacy Policy.

Submit Your Application
Once all mandatory fields are complete, the Submit button will be enabled. Click Submit to finalise your payment onboarding form

Are you registering as a business, charity, or community amateur sports club?
- Note if your club is not a registered business or incorporated please ensure No is selected.
Verifying your bank details
- Once submitted you will be required to verify your details by
After submitting your initial form, you'll see your account with a "Verification Required" status.
To Complete Verification:
- Click the Verify button next to your account name
- You'll be directed to provide the following documentation:
A. Confirm Identify
- Provide details for your President or Treasurer
- Include full name, date of birth, and contact information
B. Proof of Business Registration
Complete the relevant fields
Note if you do not have a Business Registration Number you can use:

A CASC (Community Amateur Sports Club) reference number is a unique identifier assigned by HMRC (Her Majesty's Revenue and Customs) to registered CASCs.
IMPORTANT: All business names and details MUST match exactly what appears on your bank account and official documents.
C. Add Directors (Committee Members)
- Add details for at least 3 committee members
- Typical roles: President, Secretary, Treasurer
- Include full names and positions
D. Beneficial Owners
- For clubs: List committee members
- For private businesses: List actual beneficial owners
E. Letter of Authorization
- Download the template
- Include any documentation that includes your organisations business name matching the information (including bank account name) which is relevant. i.e club constitution
F. Click Submit
Step 3: Monitor Verification Status
- Return within 48 hours to check your verification status
- If status still shows "Verification Required", click the button to see what additional information is needed
- Verification typically completes within 2-3 business days
Managing your payment setup
If your organisation is not receiving any payouts to your bank account from PlayHQ's payment gateway, contact your sport's support team who can assist with this process.
Please ensure you include the below information when submitting your support request or email:
- Your organisation name in PlayHQ
- Your name and role at your organisation
- When was the last date you received a payout from PlayHQ's payment gateway? Or have you never received any payouts from PlayHQ's payment gateway?
- Your organisation current bank details (so we can check these are accurate in PlayHQ payment gateway)
